British Council Croatia is recruiting a Project Assistant 

Purpose of the job: to assist the Programme Manager deliver the EU funded project in line with agreed procedures and standards and to the satisfaction of customers and management. The post ensures the smooth running of project events and completion of project documentation to the satisfaction of all stakeholders, in line with corporate standards.

Duration of job: 3 month till end of March 2019, with possibility of extension   
Type of contract: fixed term, part time   

 

Context and environment 

Based in Zagreb, Croatia and working with the Programme Manager, providing support to the required standards. This post aims to support administration, promotional and financial duties due the larger volume of project activity towards the end of this phase. British Council Croatia implements the Technical support to the Curricular reform in Croatia project. The project is funded by the European Union via the Structural Support Reform Service of the Commission.

Accountabilities, responsibilities and main duties

To support the delivery of the project and project events by carrying out agreed tasks and working with partners, stakeholders and participants: 

  •  managing administrative arrangements for project implementation (e.g. hotel bookings, travel arrangements etc.)
  •  administration tasks (filing of project documentation, reporting, raising Purchase Orders, Vendor creation, processing travel claims)
  •  logistical support

To provide support to the Programme Manager in building relationships. Specific tasks include:

  • updating contact databases
  • responding to enquiries

To update financial data on systems and check on and off the system reports: 

  • transactions/payments prepared in line with corporate financial guidelines
  • all tasks are performed within agreed timescale and to agreed standards negotiated with colleagues. 

To support implementation of communications strategies for projects and events in consultation with colleagues from the Digital and Communication team and produce appropriate promotional materials.

To ensure that relevant databases and web pages are updated and maintained.

To attend relevant training sessions and presentations to keep up to date with developments in the organisation (5%). 

Other important features or requirements of the job

Occasional travel and working on weekends may be required.
